How and why we use personal information

UK data-protection law requires us to have a lawful basis for each way we use personal information. The main purposes and lawful bases are set out below.

Purpose Information used Lawful basis

Take payments and issue refunds Contact, order, payment status and transaction-reference information. Contract and our legal obligations relating to financial records.

Maintain accounts, tax and business records Orders, invoices, refunds, payments and customer details shown in those records. Legal obligation: necessary to comply with tax, accounting and company-law requirements.
Prevent fraud, misuse and security incidents Account activity, order data, IP address, device details and security logs. Our legitimate interests in protecting customers, our website and our business, and compliance with applicable legal obligations.
Operate and improve the website Website activity, browser, device, cookie and analytics information. Consent for optional analytics cookies, together with our legitimate interests in understanding and improving our website.
Measure advertising and show relevant advertising Cookie identifiers, advertising identifiers and information about visits or actions on the website. Consent where advertising cookies or similar technologies are used.
Send permitted marketing communications Name, email address, order relationship and marketing preferences. Consent or, where legally permitted, our legitimate interests in marketing similar products to existing customers, with an opt-out provided.

Where we rely on legitimate interests, we consider the interests of JGS4x4 alongside your rights and reasonable expectations. You may object to processing based on legitimate interests in appropriate circumstances.

Who we may share information with

We do not sell your personal information. We only share information where it is necessary to provide our services, operate the business, protect our legitimate interests or comply with the law.

BigCommerce and associated hosting, security and technical-service providers used to operate our website and checkout.

Payment providers

Payment processors and finance providers selected at checkout, including Stripe and Klarna where applicable.

Delivery providers

Royal Mail, DPD, Parcelforce and other appropriate carriers used to deliver or collect orders.

Order-management providers

Linnworks and other systems used to manage stock, orders, dispatch, invoices and customer communications.

Suppliers

A supplier or distributor where an item is sent directly to you or where information is required to investigate a product or warranty issue.

Professional and technical advisers

Accountants, insurers, legal advisers, IT support, security providers and fraud-prevention services where required.

Analytics and advertising providers

Google where you have permitted the relevant Google Analytics or Google Ads cookies and technologies.

Authorities and other parties

Government bodies, regulators, courts, law-enforcement agencies or other parties where disclosure is required or permitted by law.

Service providers are only given the information reasonably required to perform their role and are expected to handle it securely and in accordance with applicable data-protection requirements.

Payments and transaction security

Online payments are handled by specialist payment providers through secure payment systems. JGS4x4 does not receive or store your complete credit or debit card number.

We receive limited transaction information, such as confirmation that payment was authorised, the amount paid, the payment method category and a transaction reference needed to manage the order, refund or payment enquiry.

Klarna

Where Klarna is selected, we provide relevant contact and order details to Klarna so it can assess and provide the chosen payment option.

Klarna handles information under its own privacy policy and may carry out identity, affordability or credit-related checks where applicable to its service.

Cookies and similar technologies

Cookies are small data files stored on your device. Some are required for the website to function, while others help us understand website use or measure advertising.

Essential cookies

These support functions such as shopping baskets, checkout, account login, security, fraud prevention and remembering privacy choices. The website may not operate correctly if essential cookies are blocked.

Analytics cookies

With your permission, Google Analytics helps us understand matters such as which pages are visited, how visitors move around the website and whether technical problems occur.

Advertising cookies

With your permission, Google Ads technologies may help us measure advertising results and display advertising that is more relevant to users and their interests.

Managing cookies

You can accept or reject optional cookie categories using the cookie controls displayed on the website. You may also delete or block cookies through your browser settings.

Blocking essential cookies may prevent the basket, account or checkout from functioning correctly. Creating an account is optional, but essential checkout cookies may still be required when ordering as a guest.

Google Analytics

Google Analytics may collect information about the way visitors use our website, including pages viewed, approximate location, browser and device type, referral source and interactions with website features.

We use this information in aggregated reports to understand website performance and improve content, navigation and customer experience. Google Analytics is used subject to your applicable cookie choices.

Google Ads

Google Ads may use cookies or similar technologies to record whether an advertisement resulted in a website visit, enquiry or purchase and, where enabled, to support relevant advertising.

Information collected through Google advertising services is handled in accordance with Google’s own privacy terms and your advertising and cookie choices.

Email marketing

JGS4x4 does not currently send regular email newsletters. We have sent newsletters in the past and may offer marketing emails again in the future.

Where marketing emails are offered, we will only send them where we have an appropriate lawful basis. This may be your consent or, where legally permitted, a limited existing-customer basis for marketing similar JGS4x4 products and services.

Every marketing email will provide a clear way to unsubscribe. You may also ask us to stop sending marketing at any time by emailing sales@jgs4x4.co.uk.

Stopping marketing does not prevent us from sending essential messages about an order, payment, delivery, return, warranty or customer-service enquiry.

Customer accounts and guest checkout

Creating an account is optional. Customers who do not wish to create an account may place an order using guest checkout.

An account can make it easier to review orders and manage saved details, but it is not required in order to purchase from JGS4x4.

You are responsible for keeping your account password confidential and should contact us if you believe an account has been accessed without permission.

Account and data deletion

To request closure of your account or deletion of eligible personal information, email sales@jgs4x4.co.uk.

We may need to verify your identity before acting on a request.

Closing an account does not necessarily allow us to erase every related record. We may retain invoices, orders, payments, warranties, disputes and other information where required for legal, tax, accounting, fraud-prevention or legal-claims purposes.

How long we keep personal information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, warranty, security and dispute-resolution requirements.

Record type General retention approach
Orders, invoices, payments and refunds Normally retained for at least six years after the relevant financial year or transaction, and longer where legally required or relevant to an active matter.
Customer accounts Retained while the account remains active or until deletion is requested, subject to records we must continue to retain separately.
Enquiries and customer-service correspondence Retained while relevant to the enquiry and for a reasonable period afterwards to manage repeat enquiries, complaints or legal claims.
Returns and warranty records Retained for the applicable return or warranty period and afterwards where needed for accounting, product-safety, dispute or legal purposes.
Cookie and analytics information Retained according to the duration of the relevant cookie and the retention settings applied within the service.
Marketing preferences Retained while marketing is active. A limited suppression record may be retained after an opt-out so that the preference can continue to be respected.
Security and fraud-prevention records Retained for an appropriate operational period or longer where necessary to investigate suspected fraud, misuse or a security incident.

When information is no longer required, we will delete it, anonymise it or securely remove it from active use as appropriate.

International data transfers

Some providers used by JGS4x4, including international ecommerce, cloud, analytics, advertising or payment providers, may process information outside the United Kingdom.

Where personal information is transferred internationally, we rely on applicable legal transfer arrangements and safeguards required by UK data-protection law, such as adequacy regulations or approved contractual safeguards.

Data security

We use reasonable organisational and technical measures intended to protect personal information against unauthorised access, alteration, loss or disclosure.

These measures include secure website connections, controlled access to business systems, reputable service providers and appropriate account and system-security procedures. No internet or storage system can be guaranteed to be completely secure.

Your data-protection rights

Depending on the circumstances, UK data-protection law may give you the following rights:

Access

Ask whether we hold personal information about you and request a copy.

Correction

Ask us to correct information that is inaccurate or complete information that is incomplete.

Erasure

Ask us to delete eligible information where there is no lawful reason for us to retain it.

Restriction

Ask us to restrict the use of information in certain circumstances.

Objection

Object to certain processing based on legitimate interests or to the use of your information for direct marketing.

Data portability

Request eligible information in a structured, commonly used and machine-readable format.

Withdraw consent

Withdraw consent where consent is the lawful basis, without affecting earlier lawful processing.

Complain

Raise a concern with us or make a complaint to the Information Commissioner’s Office.

These rights are not absolute and may be subject to legal conditions or exemptions. We may ask for information needed to confirm your identity and understand your request.

Information relating to other people

Where you provide another person’s details, such as a different delivery recipient, you should ensure that you have permission to provide those details and that the person understands how they will be used.

We will use those details only as reasonably necessary to process and deliver the order, respond to an enquiry or provide the relevant service.

Third-party websites

Our website may contain links to websites operated by other organisations. Those organisations are responsible for their own websites and privacy practices.

We recommend reviewing the privacy information provided by an external website before supplying personal information to it.
